Write and send an issue of the newsletter

Write it as an email in its campaign. Saved, it is on the website; sent, it is in the inbox too.

An issue is written in the newsletter's own campaign, in the email designer, exactly as an email is. One design does both jobs: the newsletter page on the site shows its body exactly as designed, and the email sends all of it - logo, footer and unsubscribe line included. Whether it is emailed at all is up to you: every issue goes on the page when it is saved, and it goes out only if you press Send. The campaign lists every issue, tagged with where it went.

The screens pictured here are an example ministry’s, so the names and figures in them are not yours. Everything they show works the same way in your own admin.

  1. Open Back Office, then People, then Campaigns, and open the newsletter's campaign.

It is the one whose header says "Posts to the ... page" with your newsletter's name.

The newsletter's campaign: New Entry at the top right, and every issue below it, tagged WEB, BOTH or EMAIL.

  2. Press New Entry.

The designer opens at once, on the starters, exactly as a new email does. There is nothing to choose first: every issue goes on the page when it is saved, and it is emailed only if you press Send. To keep an issue off the page, use the globe on its row.

  3. Give it a title across the top, fill in the subject beside it, and design the issue.

It opens on the newsletter template. The title is the heading on the newsletter page, and an issue will not save without one. Under it are the subject, the preview text and the letterhead - they are the email, and they stay until it has gone out. The Website tab on the right holds the page's own settings: the issue's date and "Show on the website".

An issue in the designer: the title and the subject across the top, the WEB tag (not emailed yet), and the Website tab open on the right.

  4. Press Save.

The issue is on the newsletter page, and its email is kept as a draft beside it. The campaign shows the two as one row, tagged WEB until the email goes out.

  5. To email it, press Send: send yourself a test first, then Send now, or Schedule for later.

It goes to the campaign's audience, and you are shown the count before anything is sent. Once it has gone, the row reads BOTH.

Tip

A row's tag says what happened, not what was planned: BOTH (emailed and on the website), WEB (on the website, not emailed yet) or EMAIL (emailed, kept off the website). The globe on a row puts it on the website or takes it off; opening a WEB row takes you back to its email, ready to send.

Watch out

A sent email cannot be recalled. Once an issue's email has gone, opening the issue changes the website post only.
